Submitting a manuscript to PubMed Central Canada

PubMed Central Canada supports CIHR's Policy on Access to Research Outputs, under which grant recipients are required to ensure that their peer reviewed publications are freely accessible online within six months of publication.

Currently, PubMed Central Canada is only accepting publications that are the result of CIHR funding. Our aim is to grow PubMed Central Canada into a premier public access resource of Canadian supported health research findings. To maximize the value of this Canadian-based public access archive, we wish to collaborate with other Canadian funders of health research who have committed to providing public access to their health research.

Answers

  1. How does the author manuscript in PMC Canada differ from the article published in the journal?

    Though specific procedures vary from journal to journal, the publication process outlined here is typical for most research articles. When an author submits an article to a journal, it is reviewed by one or more independent peer reviewers and the journal's editors, who decide whether to accept it for publication. As part of this process, the author may be asked to revise the article to meet the journal's standards for acceptance. The final manuscript supplied to PMC Canada is the version that the journal accepted for publication, including any revisions that the author made during the peer review process. The published version of the article usually includes additional changes made by the journal's editorial staff after acceptance of the author's final manuscript. These edits may be limited to matters of style and format or they could include more substantive changes made with the concurrence of the author.

  2. Who can submit manuscripts to PubMed Central Canada?

    PubMed Central Canada is a partnership between the National Research Council’s Canada Institute for Scientific and Technical Information (NRC-CISTI), the Canadian Institutes of Health Research (CIHR), and the US National Library of Medicine (NLM). Currently, we are accepting publications that are the result of CIHR funding. Manuscript files may be submitted to PubMed Central Canada by a Principal Investigator (PI) who has received funding from CIHR. Approval of the PDF Receipt and web version of the manuscript requires PI review and authorization. To track their grants properly and prevent duplication, submitters must continue to use the same login method for subsequent visits to the PubMed Central Canada submission system.

  3. What if my manuscript is not funded by CIHR? Can I submit it to PubMed Central Canada anyway?

    We are currently only accepting publications that are funded through CIHR however other funding partners are more than welcome. For more information about partnership opportunities, please consult the following page at: http://pubmedcentralcanada.ca/ppmc-localhtml/about-partners.shtml.

  4. In what format must I submit my manuscript?

    Users must submit at least one manuscript file which can be all-inclusive incorporating tables, figures, and/or supplementary materials. Additional files can be uploaded, if the submitter wishes to provide higher resolution images. The PubMed Central Canada manuscript submission system supports a wide variety of file types (MS Word, Word Perfect, PDF, PowerPoint, Excel, etc.).Just as required by journals, high-resolution images should be submitted to ensure the best reproduction quality in PubMed Central. With the exception of supplementary materials, the system will convert the submitted files into a PDF file.

  5. May I submit the final published PDF version of my manuscript?

    If an author wishes to submit a final published PDF to PubMed Central Canada he/she must obtain permission for this particular use from the publisher.

  6. Is this system only for primary manuscripts? What about supplemental material?

    Supplemental material that has been submitted to the accepting journal in support of the manuscript will be accepted. The PubMed Central Canada manuscript submission system has been developed to allow users to indicate supplemental files and upload them in conjunction with other manuscript files.

  7. Will I have to submit my final manuscript separately to the journal and to PubMed Central Canada?

    Authors must submit manuscripts to the journal separately and independently of PubMed Central Canada.

  8. Am I required to submit manuscripts to a particular set of journals?

    No. Authors are free to publish their findings in any journal they choose or as determined by the funding agency requirements. Authors can find out the publisher’s policy on open access and self-archiving for the chosen journal by using the SHERPA/RoMEO service. This site provides summaries of permissions that are normally given as part of each publisher's copyright transfer agreement. In addition, the funders of a research grant may offer guidance for authors on open access publishing (i.e.CIHR).

  9. Do I have to submit my manuscript to PubMed Central? How do I do this?

    The CIHR Access Policy requests that researchers funded by CIHR submit their final, peer-reviewed manuscripts, which have been accepted for publication, to PubMed Central Canada or an institutional repository. To facilitate the submission process, we have developed the PubMed Central Canada Manuscript Submission System. This system allows users to deposit and manage manuscripts. The system supports a wide range of electronic word-processing formats. Additional files containing figures, tables, or supplementary information should also be included with the manuscript. No further formatting of the manuscript is necessary beyond that required by the journal that has accepted the article.

  10. How does PMC Canada link an author manuscript with the corresponding published article?

    When PMC Canada displays the author manuscript version of an article, the source data preceding the article title includes a reference to the published article, as in the illustration below.

  11. What version of my manuscript should I submit?

    An electronic version of the final manuscript should be submitted to CAPMC. The final manuscript is defined as the version accepted for publication that includes all the modifications made in response to the peer review process.

  12. What kinds of papers/publications should I submit?

    Please submit peer-reviewed, original research publications which have received funding in whole or in part from CIHR. This policy applies to all research grants awarded January 1, 2008 and onward. The policy does not apply to book chapters, editorials, reviews, or conference proceedings.

  13. Can I submit manuscripts that were supported by grants that have now expired?

    The PubMed Central Canada manuscript submission system has been developed to allow submitters to easily identify grant numbers both past and current. Please contact the PubMed Central Canada Help Desk at helpdesk@pubmedcentralcanada.ca, if you require assistance or if your grant is not listed in the submission system.

  14. There is an embargo period for my manuscript. Should I delay submitting my manuscript until after the embargo period?

    No. The PubMed Central Canada manuscript submission system has been developed to accommodate embargo periods. We strongly encourage authors to post for public accessibility as soon as possible (and within six months of the publisher's official date of final publication) and designate the appropriate embargo period within the submission system.

  15. What is the delay/embargo period?

    The delay/embargo period is the interval between a manuscript's final publication date and when the author-supplied version will appear publicly in PubMed Central Canada. The delay period is determined and registered in the PubMed Central Canada manuscript submission system by the manuscript's Principal Investigator (PI) based on the agreement between the Publisher and the PI. If the PI is uncertain about this they need to consult with Publisher. We strongly encourage authors to post for public accessibility as soon as possible (and within six months of the publisher's official date of final publication). We expect that only in limited cases will authors deem it necessary to select the longest delay period.

  16. What if I am not sure about my copyright policy with the publisher?

    Authors should, when in doubt, check the latest position regarding copyright and self-archiving with their publisher.

  17. My manuscript has not been accepted by the journal yet; it’s still in peer review. Should I remove it?

    Yes. Only manuscripts that have been peer reviewed and accepted for publication may be submitted to PubMed Central Canada.

  18. What is the PubMed Central Canada submission statement that I must agree to?

    Submission Statement:

    I hereby submit an electronic version of my final manuscript that is the result of research supported, in whole or in part, by the Canadian Institutes of Health Research.

    This manuscript has been accepted for publication in (JOURNAL NAME) and includes all modifications resulting from the peer review process. The manuscript contains confidential information and I request that it not be disclosed prior to the time indicated below.

    I request that this manuscript be publicly accessible through PubMed Central (EMBARGO PERIOD) after the publisher's official date of final publication and I confirm that the publisher is aware of, and has agreed to, this action.

  19. What is the PubMed Central Canada privacy notice statement that I must agree to?

    Privacy Notice Statement:

    The National Research Council's Canada Institute for Scientific and Technical Information (NRC-CISTI), the Canadian Institutes of Health Research (CIHR), and the US National Library of Medicine (NLM) have jointly established PubMed Central Canada (PMC Canada). PMC Canada is a national digital repository of peer-reviewed health and life sciences literature, including research resulting from CIHR funding. PMC Canada is operated and maintained by NRC-CISTI in accordance with its mandate and legislative authority.

    The PMC Canada manuscript submission system supports CIHR's Policy on Access to Research Outputs, under which grant recipients are required to ensure that their peer reviewed publications are freely accessible online within six months of publication. Manuscripts submitted to PMC Canada shall also appear in PubMed Central US, hosted by the National Library of Medicine (NLM). It must be noted that, as a US organization, the NLM is subject to extraterritorial laws and legislation.

    To submit your manuscript to PubMed Central Canada, NRC-CISTI requires certain personal information. Some personal information is extracted from the manuscript you submit and some is received from CIHR. This statement explains how your personal information is collected, used, disclosed and retained in accordance with the Privacy Act.

    The personal information contained within the manuscript will be extracted from the manuscript in order to identify attributes of the author such as name, affiliation, email address, telephone numbers, CIHR Grant ID. Information extracted from your manuscript will be posted on PMC Canada. Your manuscript will be retained in the depository system for the lifetime of PMC Canada.

    NRC-CISTI will use personal information received from CIHR including salutation, first name, last name, affiliation, email addresses, phone number, funded project title, CIHR Grant ID and CIHR person ID, to identify and authenticate the researchers. This information will be used for the processing of the manuscripts, as well as for research and statistical purposes such as grant tracking and evaluation. This information will not be shared with NLM or any other outside third party. All personal information received from CIHR will be stored in a secure manuscript submission system and will be deleted upon request from CIHR or the user.

    This website occasionally uses "session cookies" to track how our visitors use this site. These cookies reside on the Web browser and have no expiry date. They expire as soon as the visitor closes the Web browser. The cookies we use do not allow us to identify individuals. They are compiled into statistical information on traffic patterns and are used to assess site efficiency.

    Should you choose to submit your manuscript through PMC Canada and US, you will need to have the following documents/information in hand: journal name, manuscript title, grant numbers, and manuscript files. By pressing the "AGREE" button, you are confirming that you have read the Submission Statement and the Privacy Notice Statement.

  20. Where will submitted manuscripts be available?

    During the submission process, a PDF Receipt that consolidates all of your manuscript files will be generated to retain and consolidate all of your manuscript's files for review. The PubMed Central Canada manuscript submission system allows users to track the status and progress of manuscripts. After the submission process, manuscripts will ultimately appear in PubMed Central Canada. PubMed Central Canada will archive and display the manuscripts in three forms: Abstract, online full-text, and PDF.
